Pricing that reads like a work order, not a mystery.
Onsite printing is quoted per deployment because staffing, product, and site logistics differ at every address. The anchors below are real numbers, published so you can budget before we ever talk.
The anchors
A fully staffed onsite printing deployment in Southern California typically starts around $5,000. That figure covers a working station, crew, blank product for a mid-size guest list, artwork preparation, setup, and teardown — a complete service, not an equipment drop-off.
Staffing bills at $250 per hour, and the clock includes setup and teardown, not just the hours guests are in line. A four-hour service window is usually a six-to-seven-hour staffed day. Deployments beyond Orange County, Los Angeles, or San Diego carry a flat $900 travel fee; inside those metros there is none.
What moves the number
| Factor | What it changes | Ops note |
|---|---|---|
| Service window length | Staffed hours at $250/hr | Setup and teardown are on the clock |
| Headcount | Blank quantity and crew size | Over ~400 guests we add a press or an operator |
| Product choice | Blank cost per piece | A Bella+Canvas 3001 tee and a Flexfit cap price differently |
| Artwork complexity | Prep time before the date | Multi-design menus cost more than one logo |
| Site logistics | Load-in labor | Docks and freight elevators are cheap; stairs are not |
| Travel | Flat $900 outside OC/LA/SD | Las Vegas and nationwide dates plan around this |
What a complete quote includes
- Line-item pricing for stations, staffing hours, product, and travel — no bundled "event fee".
- A throughput estimate: how many finished pieces your window and crew can actually produce.
- Power, footprint, and load-in specs your facilities or venue team can approve as-is.
- Certificate of insurance on request, issued before the date, not after a reminder.
If a quote you are comparing against ours is missing staffed teardown, insurance, or a piece estimate, price it as incomplete — those gaps surface on event day, when they are most expensive to fix.
